About NMS

Welcome to the official webpage of Nottingham Malaysian Society (NMS). As one of the most established societies under the University of Nottingham Students’ Union, NMS currently consists of 300 members and is directed by a team of 8 committee members. Established in 1985, the society mainly focuses on making their members’ stay in Nottingham a memorable and enjoyable one whilst introducing the multi-cultural Malaysian community and South-East Asian culture to the locals through numerous events organised throughout the year. It is also billed with the role of promoting Nottingham to potential students from the Malaysian campus (UNMC) in Semenyih and local colleges back home.

Constitution

1. Aims
The Aims of the Society are:-

  • To look after the interests and welfare of Malaysian students in Nottingham by providing strong support and a wide range of activities for members
  • To promote all aspects of the Malaysian culture among the Malaysian, international and local student communities.
  • To create ties and foster friendship between Malaysian students throughout the United Kingdom especially in Nottingham
  • To strike a balance between a healthy lifestyle, sports, socializing and academics
  • To create a platform for students to showcase their talents and cultivate various skills, thus producing opportunities for members to experience a different lifestyle and acquire new skills

2. Membership

  • Full membership of the Society shall be open to all members of the University of Nottingham Student Union on payment of the membership fee of £4
  • Associate membership of the Society shall be open to all associate members of the University of Nottingham Union on payment of the membership fee
  • Membership fee shall be decided at the AGM.

3. Officers

These Officers are collectively the Executive Committee, and may be removed from office by a “vote of no confidence” by 2/3rds of members present at an EGM or AGM. The quorum applies.

  • President
    • Has overall responsibility for the Society
    • Responsible for the chairing of meetings
    • Overall charge of implementing activities during the tenure
    • Prepares a written handover for their successor
  • Vice-President
    • Shares similar duties as the President
    • Responsible for general duties and administration of the Society
    • Prepares a written handover for their successor.
  • General Secretary
    • Responsible for the general administration of the Society
    • Calling and minute meetings
    • Prepares membership records
    • Responsible for official communication external of the society
    • Returning Officer for the Society’s elections during the AGM
    • Prepares a written handover for their successor
    • The President, Vice President and Secretary are expected to be aware and involved in the executive decisions of the Society

    Treasurer

    • Not a final year student
    • Records of all financial transactions
    • Responsible for keeping the accounts of the Society
    • Responsible for determining fees for events.
    • Prepares the financial statement at the end of the Academic Year
    • Responsible for the financial provision within the society.
    • Prepares a written handover for their successor.

    Publicity Secretary

    • Responsible for official internal communication within the society (emailing members, etc)
    • Responsible for maintaining and updating the Society website

    Sports Secretary

    • Manager of the Nottingham Malaysian Games
    • Leads the Society contingent to friendly sporting events
    • Oversees sporting events under the auspices of the Society

    Welfare Secretary

    • Responsible for the Welfare of NMS members
    • Responsible for holding the Society First Aid kit in sporting and outdoor events
    • Responsible for the Society Peer Link Scheme.

    Social Secretary

    • Responsible for organizing events for members

    2 First Year Representatives (1 male and 1 female)

    • Assist the Executive Committee

4. Executive Committee

  • Meetings of the Executive Committee shall be held at least once a month except during vacations. Any member may attend as observer
  • The Quorum for Executive Committee meetings shall be half of the total voting membership

5. Finance

  • All monies shall be required to be held in accounts at the UoN SU Treasury
  • All monies shall be used to support the Society’s activities
  • The Society should strive to charge as little as possible on members attending Society events.

6. Elections

  • All Officers must be elected at the Annual General Meeting (AGM) or at an Extraordinary General Meeting
  • The Voting method for all elections shall be the Single Transferable Vote System or as stipulated by the Student Union.

7. AGM and EGM

  • There must be an Annual General Meeting (AGM)  of the Society in the Second Semester before the Easter holiday, or as stipulated by the Student Union
